General – Terms & Conditions / Definitions
“The Company” refers to RVDN Transport Virgil, its employees, agents, and subcontractors.
“The Client” refers to any individual, company, corporation, limited liability partnership, or any other entity who instructs, authorises, or otherwise engages RVDN Transport Virgil in connection with the transport, movement, storage, towing, or any other handling of a vehicle or related service.
Collection and Delivery Access
It is the client’s responsibility to ensure that the collection and delivery locations are accessible for the transport vehicle. Our transporters may be large HGV car carriers, which may not be permitted to enter certain roads or residential areas.
If access is restricted or unsafe, alternative arrangements must be made in advance. Failure to ensure suitable access may result in delays or additional charges.
Documents and Personal Items
The Company is not liable for:
- Missing documentation (sales invoices, purchase notes, logbooks, etc.)
- Personal belongings left inside the vehicle, especially items requiring customs declarations or attracting unwanted attention
Clients are strongly advised to remove all non-essential belongings prior to handover.
Personal Belongings & Customs – UK ↔ EU & Domestic Transport
UK ↔ EU Transport
- No personal or household items permitted unless fully declared
- Customs delays of 2–3 hours or more may occur
- Delays and document fees are not included in quotes
- Waiting time charged at £80 per 30 minutes
Domestic & Non‑EU Transport
- No personal items allowed without prior written consent
- Inventory must be provided
- Items must not exceed window height
- Safety and legal compliance take priority
Insurance Coverage & Liability
- £35,000 Motor Trade Insurance (UK-driven services only)
- £500,000 Goods in Transit Insurance
- European Roadside Assistance for EU transports
Insurance covers only damage directly caused by the Company. No liability for:
- Pre-existing damage
- Third-party interference
- Weather, road debris, vandalism (e.g., stone chips, cracked windscreens)
Vehicle Conditions
For driver services, the client must ensure the vehicle is roadworthy, taxed, MOT’d, and equipped with a spare tyre and tools.
Clients must check country-specific requirements (e.g., V5 logbook, UK sticker, warning triangles, first aid kits).
The Company is not responsible for fines due to missing documents or equipment.
If the vehicle breaks down, all resulting costs are passed to the client. Once roadside assistance is engaged, timing is outside the Company’s control.
Non-Runner Vehicles – Winching Policy
Access Requirements
Client must ensure access for a winch-equipped transporter.
Vehicle Condition
Vehicle must roll and steer freely with all wheels present.
Undeclared Non-Runners
Undeclared non-runners incur a £30 additional fee.

Caravan & Trailer Towing Services
- Must be fully roadworthy
- Functional spare tyre required
- Hitch lock required
- All keys must be provided
- Must comply with all countries on route
Boat Transport Requirements
General Requirements
- Tanks empty
- Batteries off
- Loose items removed
- Accurate weight required
- Safe access required
- Crane/lifting arranged unless agreed
Transport on Company Roller Trailer
- Max 2 tonnes
- Fuel max 10 litres
- No slipway launching (crane only)
Transport on Client’s Trailer
- Max 3.3 tonnes (boat + gear + trailer)
- Trailer must be legal and roadworthy
- No slipway launching
Delays, Failed Collections & Additional Charges
1. Reasonable Waiting Period
If issues cannot be resolved on-site, the full job amount is invoiced plus additional costs.
2. Collection Failure – Client Responsibility
- Vehicle unpaid
- Vehicle immobile
- No access
- No one present
- Address changed without notice
- Vehicle not available
3. Waiting Time Charges
£25 per 30 minutes after the first 15 minutes.
4. Payment & Storage
Vehicle stored at client’s expense until full settlement.
Port Deliveries – Documentation & Delays
Client must provide correct Shipping Notes and documentation.
If unresolved within 15 minutes, the vehicle is returned and full charges apply, plus £25/day storage.
Bookings, Delays – Limitation of Liability
The Company is not liable for delays caused by client actions, traffic, accidents, weather, or events outside its control.
Scope of Service
The Company undertakes to transport and/or store vehicles as instructed by the Client.
Payment Terms
Invoices payable upon delivery unless credit terms agreed. Late payments incur 15% surcharge plus VAT.
Quotation Validity
Quotes valid for 7 days.
Service Scheduling
Service dates confirmed in writing upon acceptance.
Delivery Estimates & Liability
Delivery times are estimates only.
Recurring Services
Clients requiring ongoing services must give 14 days’ notice.
Vehicle Identification & Instruction
Client must provide accurate vehicle details. Pricing may change if details differ.
Secure Storage Following Failed Delivery
Vehicle stored securely; additional fees apply. Risk transfers to client.
Cancellations & Amendments
Changes with less than 5 working days’ notice incur full charge.
Ownership Warranty
Client warrants legal ownership or authority.
Vehicle Condition & Safety
Client warrants vehicle safety. Company not liable for damage when client loads/unloads.
Indemnity – Unroadworthy Vehicles
Client indemnifies Company for claims arising from unsafe vehicles.
Health & Safety Compliance
Client indemnifies Company for third-party H&S breaches.
Company Compliance
Company indemnifies Client for liabilities caused by its own non-compliance.
Industrial Action
Client must inform Company of any industrial disputes affecting service.
Routing & Transport Method
Company determines routing unless agreed otherwise.
Lien
Company may exercise lien over vehicles for unpaid invoices.
Assignment of Debts
Company may sell or assign unpaid invoices.
Payment Application & Set-Off
Client may not apply set-off. Company may allocate payments at its discretion.
VAT & Statutory Liabilities
Client responsible for all taxes, VAT, duties, or levies.
Corporate Responsibility & Guarantees
Client liable for debts incurred by employees or directors. Directors personally guarantee debts for limited companies.
Use of Subcontractors
Company may employ subcontractors and third-party facilities.
Service Disruption
No liability for delays caused by weather, breakdowns, or third-party issues.
Possession & Responsibility
Responsibility transfers at handover and ends at delivery.
Insurance
Insurance applies only to vehicles transported by Company’s own transporters unless agreed.
Force Majeure
No liability for losses caused by force majeure events.
Consequential Losses
No liability for indirect or third-party losses.
Claims Procedure
Claims must be submitted within 2 working days.
Non-Waiver
Failure to enforce rights does not constitute waiver.
Surviving Clauses
Rights and obligations remain enforceable after completion.
Governing Law
All agreements governed by English law.
Payment Methods
- BACS or cash accepted
- Personal cheques not accepted
- Company cheques must clear before release
- Credit cards incur 2% surcharge
Subcontractor Invoicing
Subcontractors must supply a valid Proof of Delivery (POD) with their invoice.
